Here's some of the most common questions we get regarding notarization services. 

  • What does a Notary Public do?

    In Ontario, a Notary Public is a public official who is authorized to perform a wide range of legal services, including notarizing documents, certifying copies of documents, administering oaths and affirmations, and drafting legal documents. Some of the specific tasks that a Notary Public in Ontario can perform include:


    Notarizing documents: A Notary Public can notarize a wide range of legal documents, including affidavits, statutory declarations, powers of attorney, and real estate documents such as deeds and mortgages.


    Certifying documents: A Notary Public can also certify copies of documents, such as passports, driver's licenses, and academic transcripts, by comparing the original document to a photocopy and then signing and stamping the copy to confirm its authenticity.


    Administering oaths and affirmations: A Notary Public can administer oaths and affirmations for individuals who need to swear or affirm the truthfulness of a statement, such as in a court proceeding.


    Drafting legal documents: A Notary Public can draft certain legal documents, such as affidavits and statutory declarations, for clients.


    Overall, a Notary Public in Ontario provides an important service in helping individuals and businesses with a range of legal tasks, and can be a valuable resource for those in need of legal assistance.

  • Why do documents need to be notarized?

    Documents need notarization to ensure their authenticity and to prevent fraud. When a document is notarized, a notary public confirms the identity of the person signing it and ensures that they are doing so voluntarily and without any coercion or undue influence. The notary also confirms that the document is signed in the correct place and in accordance with legal requirements. By doing so, the notary helps to prevent fraud and makes it easier to verify the document's authenticity in the future. Notarization is particularly important for legal documents such as deeds, wills, and contracts, as these documents have legal implications and may need to be presented in court.

  • Is there a difference between a Notary Public and a Commissioner for Oaths?

    The main difference between a Notary Public and a Commissioner for Oaths is the types of documents they can certify or notarize. In Ontario, both Notaries Public and Commissioners for Oaths are authorized to administer oaths and affirmations, but Notaries Public have broader powers than Commissioners for Oaths.


    Notaries have the authority to notarize documents relating to  deeds, mortgages, and powers of attorney and can also certify copies of documents, while Commissioners for Oaths are limited to administering oaths and affirmations.


    Overall, both Notaries Public and Commissioners for Oaths play important roles in administering oaths and affirmations, but Notaries Public have a wider range of powers and responsibilities.

  • What do I need to bring to my notary appointment?

    You should bring the following documents and items with you:


    The document(s) to be notarized: Bring the original document that you need notarized, as well as any copies that you need certified. Make sure the document is complete and ready to be signed in front of the notary (please do not sign until you have met with our notary).


    Valid photo identification: Bring a government-issued photo ID such as a driver's license, passport.  If you do not have a photo ID, you can bring 2 pieces of government-issued ID’s without a photo, such as, social insurance card and birth certificate.  The notary will need to verify your identity before notarizing your document.


    Any other supporting documentation: If your document requires additional supporting documents or information, bring those with you to the appointment.


    Additional items: If you need a certified copy of a document (must be in-person), you will need to bring the original document as well as any copies you need certified. If you are having a document notarized for use outside of Canada, check with the recipient to see if any additional steps are required.


    It's always a good idea to confirm with us ahead of time what documents and items you need to bring to your appointment to ensure a smooth and efficient process.


  • What if I don't have any forms of ID?

    A notary public is legally required to verify the identity of the person whose signature is being notarized. They must follow strict rules and regulations when notarizing documents, and they may not be able to proceed with the notarization if they are unable to verify your identity. This means you will need to provide valid (non-expired) photo identification such as a driver's license or passport.  


    However, if you do not have any forms of ID, we suggest that you obtain a document that's called the "Ontario Photo Card" from any authorized Service Ontario location.  You can find out more here: https://www.ontario.ca/page/ontario-photo-card

  • What if my ID is expired?

    If you driver's license or passport are expired, you can also use other valid government-issued ID's, such as, a permanent residence card, etc. 


    Otheriwse, if all of them are expired, please contact an authorized service ontario location to obtain the Ontario Photo Card.


  • How much does it Cost?

    We strive to provide competitive and affordable rates, as follows:  


    $34.99 for the first notarization (in-person); and 

    $19.99 for any additional notarization. 


    Charged per notarization/commission (signature), not per page. 


    * prices do not include HST. 


  • What documents can you notarize?

    Practically, any legal document, including but not limited to affidavits, statutory declarations, certified true copies, insurance claims, agreements attestations, travel letters, etc. For more information, please go to our Services page to find out more. 

  • Can you notarize documents that are being used out of Province or Country?

    We suggest to exercise with caution as there are situations where notarized documents may require authentication and legalization before being accepted in another country. While we can provide notarization services for such documents, it is important to verify with your consulate or embassy in the destination country for any specific requirements.

  • What if my document is not in English, can you still notarize it?

    Certainly! If the document you need notarized is not in English, we can still assist you. As a notary public, our role is not to provide advice on the content of the document. Rather, we are responsible for verifying your identity and witnessing your signature, or making a true copy of the original document.

  • Do my documents require a coloured seal when notarized in Ontario?

    No, you do not need a colored seal when having your documents notarized in Ontario. Notaries in Ontario generally use a black ink stamp to affix their seal onto the document, which is required by law. The seal includes the notary's name, the words "Notary Public," and the jurisdiction where they are authorized to practice. In addtion, when a document is notarized in-person, a notarial impression is usually created on the paper, which raises the edges of the seal. This impression is legally equivalent to a colored seal. 


    While some notaries may use a colored ink for their seal, it is not a requirement. The important thing is that the seal is clear and legible so that the document can be easily verified as authentic.


    Nonetheless, we understand that some customers still prefer a colored seal to be placed over the impression even though it's not required (as the impression alone is sufficient), we are happy to accomodate your needs at no extra charge. 


  • Are all of your notaries licensed?

    Absolutley! Our notaries are all official notaries appointed by the Ministry of the Attorney General of Ontario. In order to be a notary in Ontario, one must first be a lawyer or a paralegal. All of our notaries have been appointed by the Ministry of the Attorney General and maintain their names on the rolls of the Law Society of Ontario. Notarial commissions in Ontario do not expire as long as the notary remains on the rolls of the Law Society. You can be assured that all notaries working on our behalf are fully licensed to provide notary services in Ontario.   • Do you have any sort of guarantee for your service?

    We stand behind the work of our notaries and offers a guarantee. In the rare event that an error occurs on our part, we will re-notarize your document at no additional cost.
